THESIS & DISSERTATION GUIDELINES

ATTENTION:
Effective September 1, 2009, ProQuest/UMI is lowering the copyright fee from $65 to $55.  A new Microfilm Agreement Form will also be available after this date.

Starting in Spring 2008, students will be required to submit their thesis/dissertation electronically. No paper submissions will be accepted.

Effective Thursday, November 1, 2007 students will no longer pay their thesis/dissertation fee at the Gradaute School. The fee will be charged to students' accounts after submission of the thesis/dissertation to the Graduate School. We will provide students with futher information upon submission.

  Top 10 Mistakes Students make regarding Electronic Thesis Format and Submission


Students should not password protect their files, as it will prevent the University Library from processing your thesis/dissertation correctly.  The Library will administer the appropriate security protections.

We strongly encourage students to bring along their laptop and an extra disc when they submit thier thesis/dissertation, in case corrections are needed.

All SINC sites on campus are equipped with Adobe in order for students to convert their thesis/dissertation files to pdf. The SINC sites can also provide help with any technical issues students may encounter when preparing their thesis/dissertation.

If you wish to have your thesis/dissertation reviewed prior to submission, we strongly encourage students to bring their thesis/dissertation formatted on a disc with the appropriate files, the way it would be if you were submitting your final version.  This allows the Graduate School to review all aspects of the thesis/dissertation such as file naming, media format, as well as format of the preliminary pages/main text.

EXIT PACKET OF FORMS

Note: All forms must be filled out in ink.

Masters Thesis Exit Packet - The Masters Exit Packet consists of two forms, and both are required for all Masters Thesis submissions:
  • Contact Information Sheet
  • Stony Brook University Licensing Form
    • The purpose of this form is to allow Stony Brook University to enter the thesis/dissertation into DSpace, which is a SUNY-wide online digital repository for scholarly works.  This repository enables the thesis/dissertation to appear in the SBU Library Catalog as well as WorldCat.
Doctoral Dissertation Exit Packet - The Doctoral Exit Packet consists of four forms, and all four are required for all Doctoral Dissertation submissions:
  • Contact Information Sheet
  • Stony Brook University Licensing Form
    • The purpose of this form is to allow Stony Brook University to enter the thesis/dissertation into DSpace, which is a SUNY-wide online digital repository for scholarly works.  This repository enables the thesis/dissertation to appear in the SBU Library Catalog as well as WorldCat.
  • Survey of Earned Doctorates
  • ProQuest/UMI Microfilm Agreement Form 
    • Section III-Author Options & Signature (p. 4) is required. One of the publishing options must be selected, and the type of publishing restriction must be selected. For more information on these options, view the Open Access versus Traditional Publishing Guide.
    • The Dissertation Submission Form (p. 5) is required. Subject Categories for this form are found on pages 8-9.
    • The Copyright Registration Form (p. 6) is only required for doctoral students who choose to copyright their dissertation. Please see the Guidelines for further information regarding what is needed for doctoral students who choose to copyright.
    • The Copy Order Form (p. 7) is an optional form for doctoral students who wish to order personal copies through ProQuest/UMI.

It is your responsibility to secure any necessary co-authorship and/or copyright permissions. If you share authorship with anyone else for any part of your dissertation or thesis, you need to acquire his or her permission to include that content. If any content in your manuscript, including appendices, is already under another copyright, you need to acquire permission from the copyright holder to use that content. All such permissions must accompany your submission.

ProQuest/UMI may elect not to distribute your dissertation if, in its reasonable judgment, it believes all necessary rights of third parties have not been secured.

These forms are submitted along with your dissertation to the Graduate School.
